Why control comes first
Many of the documents an organization runs on carry legal obligations: patient records under HIPAA, matter files under attorney-client privilege, loan packets under financial regulation, public records under retention law. When data carries obligations like these, sending it to a public AI service under someone else's terms is not a strategy — it is an exposure.
The compliance officer who asks "where did the data go?" is not being difficult — they are doing exactly what they are paid to do. A controlled platform gives them a short answer: the data never left our boundary, every touch is logged, and the rules we set are the rules the system enforces.
What control actually means
Control is four things working together. A boundary: Private AI runs where you say it runs — from an isolated tenancy to a private deployment to on-premises — so your data never leaves your control boundary. Permissions: policy-based controls decide who can run what, on which data, in which tier, and role-based access is enforced on every record.
Then the record: every AI touch on a document is logged — what ran, on what data, when, and under whose authority — inside your own audit trail, and every repository document carries a complete audit history. And retention: retention, classification, and access rules apply consistently across every department, so how long things are kept is a setting you chose.
Control, end to end
Set the Boundary
Choose the deployment tier each workload belongs in — private where the obligations are highest, hybrid where they are not. The tier is an architecture decision you make, not a default you inherit.
Set the Permissions
Roles and policies define who can see which documents and data, and who can run which processes on them. Access is enforced by the platform, not by everyone's good intentions.
Process Inside
Private AI reads, classifies, and extracts inside the boundary. The intelligence comes to your data — and your data is never used to train someone else's model.
Log Everything
Each processing step and each access is written into the record's history: what ran, on what, when, and under whose authority. The audit trail is a by-product of the work, not a separate project.
Retain & Retrieve
Retention rules apply on schedule, and your records stay retrievable from the repository for as long as your rules say. When you need everything back, a complete export is produced from your repository.
What changes for the team
When control is built in, the conversations change. Audits stop being archaeology, because every document's history already exists. Security reviews get shorter, because a smaller surface is a safer surface — data that never leaves your boundary cannot leak from someone else's. And the AI question stops being a tug-of-war between the people who want the capability and the people who carry the obligation.
Hybrid is the pragmatic shape of this. Commodity work can run at a lighter tier; the crown jewels stay home. The platform — not each employee's judgment — routes each workload to its assigned tier.
The platform behind the control
This site is a MaxxLogix LLC resource on Outcome Cloud™. The controls above run on MaxxLogix — a platform built for documents and data, and for the outcomes they produce.
Private AI
Private and hybrid AI deployment: your data stays home, the intelligence comes to you, and your documents never train someone else's model.
Outcome Repository™
Where your records live: complete audit history on every document, role-based access enforced everywhere, and retention rules applied consistently.
MaxxLogix SI™
The AI-powered intelligence layer of the platform, delivered inside your boundary as part of the Intelligent Outcome Engines™ on Outcome Cloud™.
MaxxOwl™ SI
The processing engine that reads your documents — classification, extraction, and validation — inside the tier your policies assign.
Outcome Workspace™
Where your people review exceptions and approve work — access governed by the same roles and permissions as everything else.
IDP Outcomes™
Document processing delivered as finished, measurable results — the outcome, not just the extraction — produced under your controls.
MaxxLaunch™
Forms and portals for intake: submissions arrive as structured data and enter the same controlled workflow as your documents.
SI Capacity
Capacity is published in SI Units and priced on outcomes, not metered tokens — so the cost of using the platform more is predictable, with no surprise overage bills.
Frequently asked questions
Is my data used to train your models?
No. Your documents and data improve your outcomes, not the vendor's next model. MaxxLogix states this as a commitment to get contractually — in writing — because a data-sovereignty promise that only lives in a blog post is not a control.
What does "private" mean, exactly?
It is a spectrum of where the model runs: an isolated tenancy, a private deployment on dedicated infrastructure, on-premises behind your firewall, up to air-gapped with no outside connection. Private means your data never leaves your control boundary; hybrid means each workload runs at the tier it belongs in.
Who decides which tier a workload runs in?
Your policies do. Routing is policy-based: the platform sends each workload to the tier its data belongs in, instead of leaving that call to each employee's judgment. Commodity work and crown jewels are treated differently by design.
What does the audit trail actually show?
Every AI touch on a document is logged — what ran, on what data, when, and under whose authority — and every document and record in the Outcome Repository™ carries a complete audit history. When an auditor asks where the data went, the answer is in the record.
What happens to our records if we leave?
They remain yours. Your documents, data, and their histories live in your Outcome Repository™ under your retention and access rules, and a complete export of your records can be produced on request. Control includes the exit — your data, your way, in both directions.
